Change your plan

The shop owner changes the plan in Settings → Billing & Payments → Plan & Billing. Plans are billed monthly: upgrades start right away and downgrades start at the end of the month you’ve paid for. Most changes happen right there; the few that don’t are marked below and go through Help → Talk to a person. Only the owner can change the plan or open billing; teammates see that only the owner can change the plan.

Plan & Billing shows your current plan and a feature table with a button for each plan. In short (US prices; the pricing page has the rest):

  • Standard, $29 a month: one person (the owner), one store and 75 new tickets a month (imported tickets never count).
  • Pro, $79 a month: one store, up to 8 people and unlimited tickets, plus the online booking page, on-site visits, texting from your shop’s number, review requests, QuickBooks Online, your own automations, label printing, time clock, commissions and staff shift scheduling.
  • Business, $149 a month for the first store and $79 for each extra store: unlimited people and every store you run, plus mail-in, shipping labels, business clients, the API, We move your data for you and faster help replies. Every store gets everything in Business.

Choose Choose (plan) and pay in the secure checkout. Paying ends the trial that day and your first month starts; you’re never charged unless you choose a plan. See Your free trial.

Choose Upgrade to (plan). The new plan starts immediately, and your card is charged right away for the difference for the rest of this month. You see Plan updated when it’s done.

If the payment doesn’t go through, your plan doesn’t change. Update your card (below) and try again.

Choose Downgrade to (plan). The smaller plan starts at the end of the month you’ve paid for; you keep your current plan and everything on it until then. Nothing is charged or refunded now.

  • More people than the smaller plan holds? BenchKey asks you to Choose who keeps access. You always keep access. The others keep working until the smaller plan starts; after that they can’t sign in, but nothing about their work is deleted, and they come back when you move up.
  • More than one store? Standard and Pro cover one store. Deactivate the extra stores in Settings → Business → Locations first, or stay on Business.
  • Features that aren’t on the smaller plan pause when it starts. Moving from Business to Pro pauses mail-in, business clients and the API. Moving to Standard also pauses the online booking page, on-site visits, texts from your shop’s number, review requests, label printing, QuickBooks Online sync, your own automations including your own status messages (built-in status emails keep sending), and the time clock and shift scheduling, and Standard includes 75 new tickets a month. Nothing is deleted; they come back when you move up.

While a downgrade is scheduled, you can’t make another plan change, including an upgrade, until it starts, and the scheduled change can’t be undone in the app yet. If you change your mind, choose Talk to a person in Help (on a phone: More → Help) and we’ll cancel it.

More than one store is part of Business (and your trial). On Pro, Add a store shows what Business costs instead of adding a store: $149 a month for your first store and $79 for each extra one.

  1. Open Settings → Business → Locations (or choose Add a store in the store switcher in the left icon rail).
  2. The first time, the Add another store card asks you to confirm: choose Add a store, read what the store will cost, and confirm. Multiple stores switch on for your shop and the new-store form opens. After that, use Add location.
  3. Fill in the store and save. For a stockroom that only holds and transfers stock, turn on Warehouse. Warehouses are free.

The owner, or someone with billing permission, adds stores. If you’re on Business and Settings → Business has no Locations yet, adding stores hasn’t reached your shop: ask from Help → Talk to a person.

On Business, your first store is $149 a month and each extra store is $79 (founders: $99 and $59; see pricing). Warehouses are free and don’t count as stores. A new store is charged right away for the rest of the month; if that payment fails, the store isn’t added. When you deactivate a store or turn it into a warehouse, it comes off your next bill, with no credit for the time left. Once you have two or more locations, the Locations & billing card on Plan & Billing lists each store and your monthly total.

Open Settings → Billing & Payments → Payments and scroll to the bottom. Manage subscription (owner only) opens the billing portal, where you:

Invoices and receipts for each payment are in the billing portal. If a payment fails, BenchKey shows Payment failed with Update payment method. Update the card on the same subscription; don’t start a second one.

In Plan & Billing, open Billing details and choose Edit billing details to set the business name, address and tax ID printed on your BenchKey invoices, then Save billing details. EU and UK VAT, Australian ABN, New Zealand GST, Canadian GST/HST and Swiss, Liechtenstein, Norwegian and Icelandic VAT numbers are accepted.

Public access is paused. Join the waitlist for updates. The launch plan is English account setup in countries supported by Stripe or Square; current eligibility is checked at invitation. Country and tax settings do not establish access. Review the tax treatment shown on your subscription invoice.
